CLAIMS PROCESS
Claims sub system caters for the registration and settlement of claims with the production of statistics as one of the important end results. It provides for setting of estimates, payments of claims, recording of recoveries (through excesses etc.), stolen vehicles registration, Salvage processing and automatic recoveries from treaties. The claims subsystem thus links Underwriting, reinsurance and accounts subsystems.
CLAIM REGISTRATION
- a) Click on the Client link to access clients listing. Search and select client details
- b) On the Policy listing page select a policy for which to register a claim. This opens the policy detail page as shown below
- c) Click on the New Claim button to open Claim registration screen. The screen below is opened
- d) Confirm the policy number in the Policy No field and select an endorsement that will be used for the claim registration.
- e) Input the loss details and press the Save button to submit. On successful submission, a Claim number is automatically generated and redirects to claim processing page for further actions.
CLAIMS ENQUIRY
- a) To view and search for Raised claims
- b) On the General Business menu click on the claims enquiry menu where you can search for the claim using the claim number.
Raise an acknowledgement letter
- a) Upon successful save, User will first be required to issue an acknowledgement letter
- b) A modal will appear where the user will be tasked to select an acknowledgement letter
- 4)select the discharge/letter type as acknowledgement letter in the dropdown, input a reference then go ahead and type in the acknowledgement letter and save it
Send Acknowledgement letter through Email
- a)Click on the mail icon
- b)Enter the email address you wish to send
CLAIMS PROCESSING
- Claim Processing includes:
i. Reserve allocation per peril per item
- Click on reserve allocation
- Choose the correspondent type
- Choose the liability and liability amount
- Enter the estimate amount
- Save
ii. Estimate Revision
- Change the amount you wish to revise either downwards or upwards
iii. Upload claim Documents
- Click on the add button to add the suporting documents
- Upload the claim supporting documents and save the form
- After successful upload it should appear like the image below
iv. Upload Inspection photos
- Move to the inspection photos tab
- Click the add button and upload the photos
- Upon successful upload they should appear in the table as shown
v. Claim Response/Discharges
- Click on the highlighted button below
vi. Acknowledgement letter
- Select an acknowledgement letter from the dropdown and fill the details and save the form
vii. Cash in lieu
- From the dropdown select cash in lieu and fill in the details highlighted
viii. Decline letter
- Select decline letter in the dropdown and fill the details highlighted
ix. Total Loss Acceptance Letter
- Select total loss acceptance from the dropdown and fill in the details highlighted
x. First Recovery loss letter
- Select the recovery letter from the dropdown
- Chose the insurer/broker
- Type the letter
Appoint Claimant
- Click on button labelled Appoint claimant
- Select the correspondent type from the drop down
- Choose the claimant name you want to appoint
- Select the corresponding liability with the liability item
- Choose bank details if they are not automatically updated
- Upon saving the claimant the appointed claimant should appear in the tab for claimant as per the screenshot below
Raise Claim Requisition
Click on the button as per the screenshot below
Fill in the details detailed in the form
After submitting the form a requisition number will be generated. Navigate to the tab claim req as per the below screenshot then click on the doc button to fill the requisition document details:
Fill in the detail for the requisition supporting documents then select a user whom you want to escalate the document to for approval
Upon submitting the form an email will be sent to the user. Notification will appear in the user’s inbox as well where they’ll need to take action on it
- Re-escalate requisition
- Click on the escalate button as below
- Select a user to escalate to
- Authorize and approve requisition
- Click on the approve button as per the screenshot below;
- Enter the payment expected date
- Select the payment mode
- Choose the debit and credit accounts
- Add some comment in the text area
- Click on the auth & approve button
Add Requisitions Taxes
- Select taxable as Yes
- Navigate to the claim requisition tab and click on docs
- Click on the eye icon shown below
- Click on the add button to add the relevant taxes for that supporting document
- Select The tax type and tax code and save the details as shown below
- Upon adding a tax , the tax details should appear on the taxes below

Checking of Requisition
- Click on the requisition you wish to check under the check requisition tab
- Click on the check requisition button to check the requisition
- Enter the expected payment date and save the form
Authorize a requisition
- Click on the authorize requisition tab
- Click on the requisition you wish to authorize
- Click on authorize requisition and save the details of the form
Close Claim File
Revise first the estimates to zero for the remaining reserves Click on the close claim file button as shown below
Fill in the detail for the form and hit save
Legal Processing
- Legal Summon
- Click on legal button
- Select legal summon in the dropdown
- Fill in the summon details provided
- Upon saving the details navigate to the legal summon tab to view the summoning details
- View summon details
- Update the court stage
- Update judgement details
- Legal recoveries
- Navigate to the legal button and select recoveries
- Fill in the details for the recovery in the form and save
- Debiting Claim recovery
- Upon registering a recovery
- Navigate to the recovery tab
- Click on the debit button to debit the recovery
Salvage Vehicle
ix. Excess Processing
- Click on the excess processing button;
- Choose the excess type and choose what the excess will be based on as per the screenshot below
- Upon successful submission of the form navigate to the excess tab
- Debit the excess amount
x. Liability Admission
- Click on the liability button as per the screenshot below;
- Fill in the details form for the liability admission
xi. Claim Response/ DV
Click on button named claim response/dv as per the below screenshot
- a)navigate to the claim responses/DV tab
- b)all the letters and discharges issues in the system will appear here where a user can print the discharges and send them to clients
Select the type of discharge/ letter you want to issue
Choose the person you want to escalate the dv to and click submit User shall get a notification in their mail to inform them on taking the necessary action for approving the Discharge voucher/ letters

STOLEN VEHICLES
Claims Registered where vehicles have been marked as Stolen are updated in this page. After a vehicle has been recovered, recovery details are updated in this section
SALVAGE ENQUIRY
- a) Click on the Salvage Enquiry link to access Salvage processing page as shown below.
- b) Click on the Create Tender button to create a tender and add vehicles in the created tender as shown below.
